As an Administrative Assistant, you will be responsible for a wide range of duties to support our magazine’s administrative needs, ensuring efficiency, organization, and excellent customer service. Here is an overview of the key responsibilities and duties associated with this role:
- Phone Calls:
- Answer incoming calls, provide information, and direct calls to appropriate staff members.
- Make outgoing calls for various purposes, including customer inquiries and follow-ups.
- Follow-Up Phone Calls/Customer Management:
- Initiate and manage follow-up calls with customers to ensure their satisfaction and address any concerns or issues.
- Maintain customer records and update databases as needed.
- Emails:
- Monitor and respond to emails in a professional and timely manner.
- Sort and organize incoming emails, forwarding them to the relevant departments or individuals.
- Event Planning Duties:
- Assist in the planning and coordination of events, including logistics, venue selection, and attendee communication.
- Manage RSVP lists and track event details.
- Clerical Paperwork:
- Handle various administrative paperwork, such as filing, data entry, and document organization.
- Prepare and edit documents, reports, and presentations as required.
- Shipping (Outbound and Inbound):
- Coordinate outbound shipments, ensuring accuracy and proper documentation.
- Receive and manage inbound shipments, distributing packages to the appropriate recipients.
- Online Website Coupon Approval and Minor Maintenance:
- Review and approve online coupons and promotions for the magazine’s website.
- Perform minor website maintenance tasks, such as updating content and ensuring website functionality.
- General Administrative Support:
- Provide general administrative support to staff and management.
- Assist with scheduling, appointment setting, and calendar management.
- Order office supplies and maintain office equipment.
- Customer Service:
- Maintain a friendly and professional demeanor when interacting with customers and visitors.
- Address customer inquiries and requests promptly and courteously.
- Team Collaboration:
- Collaborate effectively with colleagues and departments to achieve organizational goals.
- Participate in meetings and contribute to discussions when necessary.

Qualifications:
